Communication as a Tool for Effective Management in the Banking Industry

Communication – In the words of A. Akpala I, communication relates to exchange of facts, opinions or emotions by two or more persons and in an organization it could be by words, letters, symbols or message shares meaning and understanding with another.

According to Nwachuwkwu “communication is the receiver, any means that an industrial uses to transfer meaning, ideas, feeling emotion or attitude to others is communication.  There are speediness messages that are transmitted by facial expressions by the use of the eye, body movement, gesticulation of the hands, shaking the head in approval, or disapproval, smiling or frowning.  Therefore communication system supplies at the units departments and individuals in the organization with information.  When the information system does not flow as required.  Individuals and departments with the organization will malfunction and this will create inefficiency and ineffectiveness on the whole organization as system.

In the words of Mark .N. Newem, identified that communication is the imparting or exchange of information by message or otherwise business communication can therefore describe as the importing or exchange of information by message or otherwise business communication can therefore be described as the importing or exchange it to achieve its objective.  The perfect act of communication takes place when the idea in the mid of the informer (sender) is transferred, undistorted into mind of the recipient.

Aukrey C. Standford etal stated that good management to the decision is made when good information if transmitted to the decision makers decision making is an important process which influences organization at activities and has a significant determinant of the degree to which set goals are attained.  Effective communication however is not an end of management basically it provides information for decision making for decision for decision-making and production process.

According to James Hovel communication therefore is a vital tool of business, it may not make a bad businessman good but it surely leads to the effectives of a quite promising businessman.

In the real sense of it, there is ineffective communication.  Koontz Odennel and Werhinch further stated that communication is essential for the internal functioning of enterprises because it integrates the managerial function.  Specifically communication is needed to establish and disseminate goals of an enterprise to develop plans for their achievement to organize human and other resources in the most effective and efficient ways to develop and appraise members of the organisation, to lead, direct, motivate and create a climate in which people art to contribute to control performance.  Roger A. Kein and Robert A. Peterson regard communication as “he process by which information about an organization and it’s offering is disseminated to selected market.  Because of the role communication plays in facilitating mutually beneficial exchange relationship between an organization and prospective buyers, the importance of communication cannot just to induce initial offering purchases, it is also to achieve post purchase satisfaction thus increasing the probability of repeat sales.

The process of communicating involves symbols includes figures, marks, signs and other ways to communicate.  The receiver must interpret the words or symbols used by the send in order to understand the message.  But Scanlan and Bernard key submitted that “employees work more efficiently and with greater satisfaction when they understand not only their own job objective but also those of other work groups and the total organization”.  There is a quick direct relationship between communication is lacking the effectiveness of the organization would continue to decline.  When communication is effective there is every tendency that it would encourage the performance of the worker and increase job satisfaction.

Fredrick W. According to Renecake and Schoed effective communication requires the service of a message to decide what information is to be communicated.  The sender has to put it in a form written or oral, they can put interpreter correctly by the receiver the sender encodes the message and receiver decodes it.  The communication effort is affective if the result is a common understanding between the sender and receiver.

Miller and Miller “stated that the people confuse communication with information.  Information essentially is those pieces of data, that bit of knowledge, transferred from one individual to another or other.  He also state that “communication is what happens with the information once it is received by the designated individuals.

Furthermore, effective communication is an activity force behind organizational activities such as planning, organizing, directing and controlling.

Newman and Warren maintain that “poor communication lead confusion, frustration and negative attitude towards meeting company goals where as good communication makes the employees his accomplishment.

According Saundra Hybels & Richard Weaver 11 (1989) defines communication, as a process in which people share information, ideas and feelings.  They go further to say that all communication depends on understanding others, and having them understand us.

According to Wiener and Hentington (1987) “Communication is the cement that binds organization of any human group”.  This means that organization cannot achieve its goals unless the people within it are able to communicate.

Communication Channel

In the words of Shitt” communication channels are a device or means for delivering a message from a sender to a receiver.  Business letters a telephone call and meetings are examples of channels.  Other channels includes reports and telegrams” communication experts had described feedback as a means of correcting and evaluate communication effort.  Meanwhile, the function of feedback is to ensure that the goals of the organization are achieved.

According to Nwachukeu “communication and his from kp executives to the subordinates to operative employees.  It is the management that provides the channel through which communication the management is involved for they create the favourable climate for the free flow of ideas and information” upward communication is very necessary in order to  promote good human relation s. it is through this means that management monitors action to correct what would otherwise lead to costly labour management dispute. According to Roberts, channels of communication is “ Any means through which intended message pass from the sender to receiver”

Nwachukwu stated that the following as the major channels of communication. Posters and bulletin boards, company periodicals, letters and pay insert, employee hand Dooks and pamphlets, and intercom system and organization grapevine and annual report.

Communication Process

There are certain steps through which an idea goes from its concept to the time its concept to the time it researches the receiver and a feedback is received.

According to Nwachukwu, the communication process takes the shapes as follows.

During the first step, ideation, ideas originate in the mind of the sender.  This becomes the intended content of the message that the sender wants to transmit to the receiver the next step is the encoding which the stage of selecting appropriate words expressions or symbols designed to send the message.  At the stage also the appropriate media is determined written, oral memoranda or conference etc.  The third stage is the transmission when the encoded message leaves the sender.  The fourth stage is the receiving, which is one of the most important steps in the process.  If it is misunderstand there is no communication whatsoever.

The fifth stage is what was encoded in stage two.  If the message is not properly decoded – due to perception, wrong twice e of words that are not drawn from a common frame of reference or semantics misunderstanding is board to occur the sixth stage is the action which is indicative whether the message was properly transmitted or not.  The reaction gives the sender a feedback as to whether the intended meaning was grasped or not.

Barriers to Effective Community

According to Nwachukwu “Communication breakdown is the single greatest barrier to cooperate existence inefficient communication in an organization is symptomatic of a faulty corporate chain.  When the managers in a organization are friendly, and have a good working report, communication tends to be very good.  When members of the organization engage in mutual distrust, resentment.  Gossips, or when there is a feeling of incompetence and insecurity, there is bound to be communication breakdown.  All the key function of an organisation, planning, organizing directly, controlling depend on effective communication for proper execution.

Most of the barriers to the effective communication are as fellows:

1.            Distortion

Distortion of communication could be caused be deliberate action of the receiver or the sender.  It could be caused by the ability of the sender to proper by encode and transmit the message situation abound where the subordinate failed to carry out a direction because he though the superior was not serious.

2.            Filtering

It occurs when the sender sieves the information and transmits only the favourable aspect of it.  When the whole picture is not presented there can scarcely be a meeting of was extensive.  People wanted to know more informational setting as well.  A business client calls up and unexpectedly cancels the order for some product.  A patient arrives at a hospital with an unusual with unexpected set of symbol symptoms when people are faced with unusual and unexpected events, they frequently seek out additional information.  This information, in-turn, serves to reduce anxiety and uncertainty about the situation at hand.  The more important, uncertain and unexpected the event is, the more people tend to communicate with others.

Problem Solving

An event may occur with which people are familiar and which people are expecting, yet it requires communication.  The president knows for example, that every year some sort of budget needs to be prepared an submitted to the Direction of Budget.  He requests initial estimates of expenditure from various federal ministries and parastatals this information is evaluated and discussed, and finally some sort of budget is prepared.  Most of this communication activity is prompted by the desire to solve that particular problem.

Belief Confirmation

There are a number of situations where we are:

1.            Publicly or private committed to a belief and

2.            We are not very sure we are right.  In this case we often communicate with others in an attempt to obtain support for our position.  A manager likes he or she should be a formal recommendation he says to some of his colleagues, “Dele has been doing pretty well, don’t you think?  The manager is not really looking for new information and he is usually not looking for conflicting information.  The motivation is for consensus and some justification of his action.

Control of the Situation

The many cases people communicate simply because they want to influence what is going on such people are not seeking more information or attempting to reduce their internal uncertainty.  Rather they wish to contribute to and have a part in the ongoing activity so many times people communicate with others because they desire to influence them or control the situation.

Summary of Literature Review

In the final process, communicate has been examined, not only as a routine or a procedure, but also as one of the essential element in leading.  Both facts and feeling need to be transmitted between a leaver to each of his subordinates.

Full communication occurs only when one person receives both the same intellectual message and the same emotion that the other person sent and feet.  In order for the second person to receiver the message it is necessary for him to agree with the content of the message or to have same emotional response to it as the first person.  But they should understand the other person’s meaning and feeling.

Communication is important it takes up much of people time and its often the cause of major organizational failure.
